Hours of Work: Monday to Friday, 8:30 a.m. to 4:30 p.m.

Job Summary:

Responsible for managing the day-to-day administration of Thrive’s offices. Provides senior administrative duties to support the overall function of the organization.

  • Maintains administrative needs planning for all locations.
  • Responsible for office purchases and expenses with approval of the Director of Finance and Operations.
  • Maintains communication with landlords.
  • Support for Directors includes planning details for staff events, assists with administrative functions regarding training and employee development.
  • Support for Managers includes assisting with team building initiatives, administrative functions, editing, or overseeing editing, of annual reports brochures, correspondence, etc.
  • Support for Board of Directors includes assisting with administrative functions.
  • Provides training and support for staff with new agency software.
  • Collects, edits, and produces agency’s newsletter.
  • This position is responsible for maintaining the organization's buildings and contents.
  • Evaluates, develops, and recommends office procedures and practices to senior management. Ensures that approved office policies, practices and procedures are understood and followed.
  • Implements improved work methods and systems as directed.
  • Develop organizational procedures and systems for administrative personnel.
  • Ensures office equipment and furniture at all locations are operational, in good repair and that service agreements are in place where applicable.
  • Ensures all on and off-site computers are operational, in good repair and that service agreements are in place. Works with contracted IT consultant. Purchase items as required.
  • Plans and arranges/re-arranges office space to accommodate changing needs.
  • Assists with orientation of new employees. Assign keys and access codes for locations to staff
  • Provides orientation and on-going support to administrative/support position.
  • Participates in the recruitment and selection of the administrative support staff by performing duties such as advertising vacancies, screening résumés, interviewing applicants, and providing input on selection.
  • Assigns work, provides direction to administrative support staff, and ensures assigned tasks are completed. Ensures effective and appropriate administrative support staff coverage.
  • Provides back-up reception duties including answering phone calls, receiving visitors, etc.

Education, Training, and Experience: 

Education, Training, and Experience:

  • A diploma in business administration, office management or a related field, or equivalent education and experience.
  • Minimum of 3 years previous supervision and administrative experience.

Job Skills and Abilities:

  • Operate a PC and related applications/software programs.
  • Ability to communicate effectively, verbally and in writing, and to deal effectively with the public.
  • Ability to organize work and carry out the duties of the position with independence.
  • Ability to operate telephone switchboard and other office equipment.

Normal office job with some limited exposure to demanding telephone callers or in-person visitors. Some lifting and moving of office supplies in and around an office.
